Library Meeting Room Reservation Policy
We want to make sure everyone in our community has fair and equal access to our meeting rooms. All meetings must follow the Library Code of Conduct and local regulations. Here’s what you need to know before booking: Please refer to section 12.1 of the Public Services Policy for the complete policy and regulations.
Who Can Reserve
Reservations must be made by a library cardholder who is at least 18 years old and will be present at the meeting.
Booking Guidelines
Rooms can be reserved up to 30 days in advance.
Only one active reservation per group or person at a time. You may book your next meeting after the current one has occurred.
Library meeting rooms cannot be used for personal or social events (like birthday parties, funerals, weddings, reunions, or playgroups).
Rooms also cannot be used for any profit-making activities or events meant to sell goods or services.
Maximum reservation time is 4 hours.
Unreserved rooms may be used on a first-come, first-served basis.
Rooms are only available during library open hours.
Set-up and clean-up are your responsibility.
Rooms must be cleaned and reset 30 minutes before the library closes.
Do not leave personal items in the room before or after your reservation.
Room capacity limits must be followed.
Cancellations & Late Arrivals
Please notify the library as soon as possible if you need to cancel.
Rooms will only be held for half the reserved time. For example, a one-hour booking will be held for 30 minutes. After that, the reservation will be canceled.
Food & Refreshments
Light refreshments are allowed—no alcohol or aromatic foods.
Outside food deliveries are okay, but library staff cannot assist.
Bring your own utensils and supplies, and clean up after your event.
Report any spills to staff immediately.
Equipment Use
Available equipment varies by location. Please request it when you reserve the room.
You may bring and use your own equipment, but you are responsible for setup and troubleshooting.
